What information do I collect from you and how do I use this data?
Reviewers/ potential reviewers:
- In order to arrange reviews of proposals or manuscripts I need to contact university lecturers and school teachers. I collect information (in most cases from university or school websites), such as name, email address, job title and employer. Sometimes this information will be sent to me by the publisher with whom I am working.
- I might collect your postal address if necessary in order to send you a book for review.
- Occasionally reviewers provide bank account details for the purposes of payment. As I do not make any payments to reviewers myself, I encourage reviewers to send these details directly to the publisher without copying me in. Should reviewers send bank details to me, I will pass them to my contact at the publisher in order to make the payment and then permanently delete the information from my email/ files. I will also check emails and reviews carefully to make sure that I am aware of the inclusion of any bank details.
- In order to facilitate the work I do for you or your publisher, I collect your name and email address. In some cases you or your publisher may provide me with additional details such as your postal address (work or home) or date of birth.
- I collect data including your name, work email address and, should you wish to share it with me, your work/home/mobile phone details.
- If I provide you with a service, I will collect your name, job title and postal address in order to invoice you and to comply with HMRC requirements.
- I will only process data to the extent necessary to provide my development editing, market research and book commissioning services.
- I do not intentionally collect any Special Categories of Personal Data (race, religion, health etc.). There is a small chance that you might disclose one of these in an email or as part of your review/ manuscript. In those cases I will not process the data any further, but your original email, review or manuscript which contains this information may be stored as part of my normal business activities in the ways mentioned below. I will delete any of these files/emails (or the relevant parts) upon request.
Where do I store the data?
- I store the data on my personal laptop, which is password protected.
- I back up the data on a password-protected external hard-drive, which I keep in my home.
- I back up the data on Google Drive, which is cloud-based storage and is password-protected. On a client’s request, I may use other cloud-based storage or file transfer services. If you would prefer me not to use cloud-based storage or file transfers please let me know.
- I ensure that all personal data is irretrievably wiped from any old devices before getting rid of them.
- Some information (in particular name and email address) may be stored in my email folders of my password-protected Gmail or Outlook email accounts.
- Some information (in particular name, email address and phone numbers) may be stored automatically by my (password protected) smartphone.
- Some information is stored by my website-provider, Weebly. This includes information you provide on my contact form and information related to cookies (see below).
How long do I keep the data?
- Any information required for HMRC purposes will be stored for a minimum of seven years.
- I often keep files related to projects for a number of years after the project has been completed. This allows me to answer queries and resolve potential issues. However I will delete files upon request, unless required to keep them for contractual or legal reasons (for example for HMRC).
Do I share your data?
- I will never sell your data or share it with anyone for marketing purposes.
- I will share data if required to do so by law, for example to HMRC.
- I will send a list of data of lecturers/teachers who I have contacted regarding a review project to my client (e.g. a specific commissioning editor at a publishing company). This data includes name, email address, job title, institution and whether you have submitted a review. I will provide you with the name and company of my client. If you would prefer me not to share this data, please let me know.
- I will not share your data with authors, unless you give your express permission.
- I share your data, including name and sometimes work email address, with authors and potential reviewers in order to fulfil my contractual obligations to you.
- I share your data with your publisher, with whom you have a contract or are discussing a contract. If you provide me with any data that you would prefer me not to share with your publisher, then I will not do so, unless required by my contract with that publisher.
- I share limited data with reviewers, for example your name, institution and book project.
